Scheduling and Invoicing Prepaid Package Appointments with Recurring Bookings

Shows how to charge a client once for a prepaid session package, then use a £0 follow-up service with recurring weekly bookings to automatically schedule and invoice the remaining sessions.

Learn how to book a client's paid-in-full session package and then use recurring appointments to automatically schedule the remaining sessions when the client attends at the same time each week.

This workflow assumes you've already created the two services this method depends on: a package service (e.g. "Course of Five") priced for the full block but with the duration of a single session, and a follow-up service priced at £0 with the same duration.

1. Book the client into the package appointment

  • Create the client's first appointment as normal and select the package service (e.g. "Course of Five Individual Therapy").

  • The appointment shows the duration of a single session but carries the full price of the package.

  • This is the appointment where the client pays for the entire block up front.

  • Click Invite client to confirm the booking.

2. Schedule the remaining sessions as a recurring booking

  • If the client keeps the same weekly time slot, don't book each follow-up session individually.

  • Create a new appointment using the follow-up (prepaid) service — priced at £0.

  • Set it to repeat weekly for the number of remaining sessions (for a five-session package, that's four repeats).

  • Click Invite client to generate the whole run of appointments in one step.

This recurring-appointment method is the fastest option when a client attends at a fixed weekly time; if their schedule varies, use the treatment series feature instead to track sessions against the package total.

3. Confirm the follow-up appointments are priced correctly

  • Open the calendar and check the newly created recurring appointments.

  • Each remaining session in the package should appear with a price of £0, since the client already paid for them in the initial package booking.
