Getting started with payments – Part 5: Enabling Payments for Existing Bookings

Learn how to enable payments for appointments that was created before activating the payment feature.

Imagine this: You've just activated payments and want to apply it to all your bookings. When the time comes to send the payment notification, nothing happens! Why is this? 😮

Answer: The booking was created before payments were activated.

About Pre-existing Bookings

All bookings made before activating payments are considered "externally billed." This means Konfidens hasn't created an invoice and won't send a payment notification.

Fortunately, you can enable payments for these bookings with a bit of manual effort.

How to Enable Payments for an "Externally Billed" Booking

  1. In the sidebar, click Clients and select a client from the list.

  2. Go to the Invoices tab and select the booking you want to enable payments for.

    Active vs. Settled Payments

    Unpaid appointments typically appear in the "Active" list. "Externally billed" appointments are considered settled since Konfidens doesn't expect a payment status update.

  3. Click the Create Invoice button.

  4. You will now see a draft invoice. To activate payment, click the ... button and then Send Payment Message.

  5. Choose the appropriate send time and click Send Now/Later.

Congratulations! Payment is now activated for the booking! 🎉

Repeat this step for all bookings made before payments were activated.

What Does the "Complete Invoice" Button Do?

You might notice we didn't click the "Complete Invoice" button. When this button is pressed, the invoice is no longer considered a draft. It gets an invoice number, date, and due date, and the "preview" label disappears. However, you don't need to press this button because Konfidens automatically marks the invoice as completed once the client receives a payment notification.
