Assign multiple contacts to a client

A contact is a person or business that the client has a connection to. Examples can be a parent or an employer.

Contacts are primarily used for three things:

  • Storing contact information

  • Sending notifications (SMS/email)

  • Paying for sessions on behalf of the client

Contact Types

There are two types of contacts:

  • Regular contacts are linked to a specific client. Recommended for registering partners, parents, and businesses that are rarely used across multiple clients.

  • Shared contacts are common for all therapists at the clinic. By creating a shared contact, you avoid having to enter information repeatedly. Recommended when the same business will pay for many different clients.

Create a contact

  • In the side menu, select Clients and then click on one of your clients

  • Click on the Profile tab

  • Scroll down to the 'Contacts' section. Then click New contact

  • A new window will open

  • Select whether the contact is a Person or Company

  • Fill out the form as you wish. Most of it is self-explanatory, but a few points may be worth elaborating on

    • Notifications: Turn on if the contact should receive appointment confirmations, reminders, and similar

    • Invoice recipient: Turn on to set the contact as the default invoice recipient. Can be overridden for each individual booking

    • Invoicing method: Choose between Konfidens Pay (automatic), manual invoice, and external.

  • When you are finished, click on Save

📦 Some functionality requires addons

To access notifications and billing, the add-on Business and/or Family must be turned on. Do this by going to Clinic → Functionality

Create a shared contact

To access shared contacts, the Business add-on must be turned on. Do this by going to Clinic → Functionality

  • In the side menu, go to ClinicShared contacts

  • Click on New shared contact

  • The same form as described above will open. Fill out the form and then click on Save

How to Link a Shared Contact to a Client

1. In the side menu, select Clients and choose the desired client.

2. Click on the Profile tab.

3. Scroll down to the Contacts section and click the button with two people.

4. Select the desired contact from the dropdown menu.
