With Secure Messaging, you can communicate safely with your clients directly from your Konfidens practice system. For clinics with multiple team members, the feature also makes it easy to communicate securely with colleagues.
With Secure Messaging, you can:
Write messages to your clients — and optionally allow clients to reply to you
Share files that are automatically saved to the client’s record
Send messages to other staff members in your clinic
Chat with everyone at the clinic through a shared group chat
Secure Messaging is activated for the clinic as a whole. It cannot be turned on or off for individual practitioners, but each practitioner can choose whether they want to use two-way or one-way communication with their own clients.
How Secure Messaging works
Secure Messaging allows practitioners at your clinic to send messages to clients directly from the Konfidens system.
When a message is sent, the client receives an email notification letting them know they have a new message. To read or reply, they log in to your practice' client portal in Konfidens.
Practitioners will see a notification icon in the sidebar when they have unread messages. You’ll also receive an email alert if you haven’t been active in the system during the last 8 hours.
How to activate Secure Messaging
This step must be done by a user with administrator rights
Go to Clinic → Functionality
Find Secure Messaging in the list
Switch it on
Once activated, all team members will see Messages as a new option in the main menu on the left, and a Messages tab will appear on each client’s profile.
Choose who can send messages
Each practitioner can set their own default messaging preference under Settings → Messages.
There are two options:
Practitioner and client: both parties can send and receive messages
Practitioner: only the practitioner can send messages; the client cannot reply
This setting can also be overridden for individual clients — meaning you can have two-way messaging as your default, but disable replies for specific clients (or vice versa).
Enable or disable replies for a specific client
You can adjust this setting in two ways:
From the main Messages menu:
Open the conversation, click the three dots in the top-right corner, and select Disable client replies
From the client’s profile:
Go to the client’s profile and open the Messages tab
At the top of the message list, you’ll see an option labelled Type — click it to toggle between two-way and one-way
If you don’t see the Messages tab in the client profile, click the three dots on the right-hand side to show more menu options.
Starting a new conversation
Go to Messages in the main menu and click +
Search for the client or colleague you’d like to message
Write your message and click send
Managing conversations
You have several options to stay organised. You can access these by hovering over a conversation in your message list and clicking the three dots that appear — or by opening a conversation and clicking the three dots in the top-right corner.
The available options are:
Archive conversation: archived conversations will automatically return to your inbox if a new message is received
Mute notifications: temporarily disable message notifications for that conversation (for a set time period)
Disable replies: allow only one-way communication with the client
Mark as unread
Go to client: quick shortcut to the client’s profile
