Consent

Create and manage client consents.

Consent is a feature that makes it easy to create different types of consents and manage the client's responses.

The client's consent can be given via online booking, in person during the appointment, or by filling out a questionnaire (coming soon). When consent is given via online booking or a questionnaire, the status will automatically update on the clients profile.

This article covers the creation and management of consents. To choose which consents to collect during online booking, first create at least one consent and then look at the settings for Client Information.


Activate the Consent Module

You must have administrator access to activate features.

  1. Go to Clinic β†’ Functionality

  2. Toggle the switch for the Consent feature


Create a New Consent

You must have administrator access to create consents.

  1. Go to Clinic β†’ Consent

  2. Click + New Consent and fill in the information

    1. Name: This will be visible as a tag on the client record. We recommend keeping this short.

    2. Statement Text: This text appears next to the checkbox in online booking. E.g., "I have read and agree to the clinic's terms".

    3. Terms: Upload a file with the agreement document that underlies the consent. If a file is added, the system will automatically link to this file where the client is asked for consent.

    4. Required: If you check that the consent is required, the client record will clearly show a warning if the consent is missing. This is useful for consents that are required by every client to provide your services. Consents that are not required will only be shown below the client name if they have been given. In the example below, Therapy Contract is required but not given. The other two are voluntary consents that the client has given.


Activate Consent in Online Booking

To collect consent as part of the digital booking flow, do the following:

  1. Navigate to Clinic β†’ Client Information

  2. Scroll down to the section for Consents and choose whether the consent should be off, optional, or mandatory.

The collection of information in online booking is dynamic and only shows fields if at least one mandatory field is missing information. In cases where there is data on the client record for all mandatory fields, the optional fields will no longer be displayed. If you want to ensure that consent is collected, you should choose mandatory.


Register Consent

Consent registration can be done either via online booking, manually during the appointment, or via a questionnaire (coming soon).

Registration via Online Booking

See the description above. The consent status will automatically update on the client card if the client approves in online booking.

Manual Registration

  1. Go to the client

  2. Select the Profile tab and scroll down to the Consents section

  3. Click the three dots next to the consent to be registered and select "Mark as Accepted"

Remember that a manually registered consent may require documentation, such as a signed agreement. If the client signs on paper, you can take a picture of the signed document and upload it to the client's secure file area.

Registration via Questionnaire (coming soon)

We are currently developing functionality for questionnaires in Konfidens. This feature will support collecting consents as part of the responses and will automatically update the client record if consent is given.


Withdraw Consent

If a client withdraws consent, this is logged as follows:

  1. Go to the client

  2. Select the Profile tab and scroll down to the Consents section

  3. Click the three dots next to the consent to be registered and select "Withdraw Consent"

All changes to a consent are logged in accordance with applicable regulations.
