Collecting Client Consent Automatically Through Online Booking

Learn how to automatically record client consents, name, and timestamp during online booking.

This article explains how to configure Konfidens so that client consents are collected automatically during online booking, instead of being logged manually on each client's file.

Before starting, make sure your consent types (e.g. GDPR, therapy contract) have already been created under Clinic > Consent. This article assumes those consent building blocks already exist.

1. Open the Client Information settings

Go to Clinic > Client Information. This page controls which pieces of client data — including consents — are requested from clients during the online booking flow.

💡 Konfidens only asks for information it doesn't already have. If a client's details are already on file, they won't be prompted to re-enter them on their next booking — new clients will simply see a slightly longer first-time booking form.

2. Scroll to the Consents section

On the Client Information page, scroll down to the Consents section. Here every consent type you've created appears with a control to set it as Off, Optional, or Required for online booking.

3. Set the status for each consent

Choose the appropriate status for each consent type based on how essential it is to your practice. For example, you might mark GDPR and a therapy contract as Required, while leaving something like AI note-taking consent turned Off if you prefer to discuss it with clients directly instead.

4. Confirm the consent is logged automatically

Once a client checks the box and completes their booking, Konfidens automatically updates their client record. The consent status changes to given, and it logs the client's name and the exact time the consent was recorded — no manual entry or paper trail required.

Because online booking automatically timestamps and attributes each consent to the client, it creates a clean audit trail — a useful alternative to manually marking consents and scanning signed paper forms.
