Build a digital client agreement inside Konfidens that clients can review, consent to, and sign electronically — with everything logged automatically to their client record.
1. Create a new form
Go to the Forms tab in the left-hand menu.
Click New form.
Give it a title, e.g. "Client Agreement".
2. Add the agreement text
Build the document just as you would in a word processor:
Drag in a text block and paste or write your agreement content.
✅ You can paste in the wording from your existing Word or PDF contract to quickly turn it into a digital version.
3. Format headings and emphasis
Select a line and change its style to a heading (e.g. H2) to break the agreement into sections.
For smaller sub-sections, use bold text instead of a full heading to keep the hierarchy clean.
4. Collect consent for existing policies
If clients need to agree to a privacy policy or data processing agreement, add a consent block for each one:
Make the consent visible to the client, since regulations like GDPR generally require explicit consent.
Mark it as required.
✅ If you don't have any consents configured for your practice yet, go to Clinic → Consent and create two consent types: privacy policy (if you have one) and client contract. Make them required.
💡 Consent blocks are smart blocks — when a client accepts, their profile is automatically updated to reflect the consent.
5. Log consent to the agreement itself
Add another consent block for the contract type itself (e.g. "Therapy Contract"). Since the form itself is the agreement, you don't need a separate checkbox for it:
Set this consent block to not visible.
The system will still log the consent as given once the client submits the form.
6. Add a signature field
To make the form feel like a genuine agreement, add a signature field at the end so the client can sign digitally, and mark it as required.
7. Send the agreement to the client
Once the form is saved, you have a complete, ready-to-send client agreement. There are two ways to send it:
From the Forms page — find your client agreement in the list and click the Send button. A dialog opens where you can search for and select the client, then click Send.
From the client's profile — open the client, go to their Forms tab, click New form, select the client agreement form, and press Complete.
Either way, the form is now sent to the client and shows a status of unanswered until they complete it.
💡 Once the client submits the completed form, their consents are updated automatically and their signature appears directly on the form.
